Associate Vice President for Administration
Pacific Oaks College and Children’s School invites applications and nominations for the position of Associate Vice President for Administration. Located in Pasadena, California, Pacific Oaks College and Children’s School is an undergraduate and graduate college educating professionals who work with children and families, as well as a children’s school providing outstanding programs for children ages six months through six years of age.  Pacific Oaks College is a unique educational institution offering upper division and graduate-level college programs in human development, marriage and family therapy, and teacher education to 800 students. Pacific Oaks Children’s School has been at the forefront of Early Childhood Education for over sixty years and is internationally known for its progressive philosophy and pioneering accomplishments in the areas of anti-bias education, emergent curriculum, and peaceful conflict resolution.

The Associate Vice President for Administration is responsible for providing leadership and administrative oversight for Pacific Oaks’ human resources and risk management, physical facilities, grounds, security, and information technology functions. The Associate Vice President for Administration also completes special projects, as directed by the Vice President for Administration and Finance, in support of Pacific Oaks’ strategic initiatives, as well as supports organizational effectiveness in terms of goal setting, planning, and evaluation.  The Associate Vice President for Administration’s responsibilities include, but are not limited to:  leading the management of Pacific Oaks’ administrative operations and services; overseeing the implementation of administrative strategic goals and action plans for campus and facilities operations and human resources programs; providing leadership and direction to the Pacific Oaks Office of Information Technology and maintaining liaison with its outsourcing partner to provide reliable and useful information infrastructure and systems; and recommending new or revised systems, methods, programs and procedures to improve efficiency and effectiveness of Pacific Oaks services, including the development and implementation of an institution-wide emergency response and recovery plan. 

Minimum qualifications are a Bachelor’s degree and five or more years of progressively responsible experience in higher education administrative areas of facilities, human resources, and information technology.  Knowledge of state and federal laws and policies related to facilities, human resources, and information technology is also required.  The ideal candidate will be able to prioritize and complete assigned tasks efficiently and effectively as directed with minor supervision and possess excellent organizational, interpersonal, analytical, listening, written, and oral communication skills, as well as be proficient with Datatel or other related higher education integrated database systems. Vice President for Enrollment Management and Student Services
Pacific Oaks College invites applications and nominations for the position of Vice President for Enrollment Management and Student Services.  Pacific Oaks College is an undergraduate and graduate college educating professionals who work with children and families. Located in Pasadena, California, Pacific Oaks College is a unique educational institution offering upper division and graduate-level college programs in human development, marriage and family therapy, and teacher education to 800 students.  

The Vice President for Enrollment Management and Student Services provides strategic leadership in recruitment, admissions, registration, financial aid, and student services.  The Vice President must be a strong manager.  The Vice President will ensure that all offices in the division operate in accordance with state and federal law and best professional practices.  The Vice President will develop and implement a viable plan for increasing College enrollment and retention, as well as ensure that the College provides high quality services to its student body of adult commuter students.  The Vice President for Enrollment Management and Student Services reports directly to the President and is a member of the President’s Cabinet.

Minimum qualifications are a Master’s or doctoral degree from an accredited institution and a proven record of three years’ successful administrative experience in higher education, as well as documented successful enrollment management experience. Personal attributes should include excellent interpersonal, problem-solving and communication skills; high standards; honesty; and a sense of humor. Interim Registrar
Pacific Oaks College is an undergraduate and graduate college educating professionals who work with children and families. Pacific Oaks is dedicated to the principles of social justice, respect for diversity, and the valuing of the uniqueness of each person.  The college is located in Pasadena, California. It is a unique educational institution offering upper division and graduate-level college programs in human development, counseling and teacher education to 800 students. Three basic concepts underlie the educational philosophy of Pacific Oaks: that growth is a dynamic and life-long process; that every individual has a fundamental worth; and that each person, no matter how young or old, has a unique identity and human potential that they contribute to the lives of all those with whom they come in contact.

The Interim Registrar provides leadership for the operation of the Registrar’s Office including all functions related to registration, scheduling, records maintenance, processing and posting of grades and degrees, graduation, and academic action.  The Interim Registrar’s responsibilities include, but are not limited to:  Ensures the security, confidentiality, and integrity of student academic records and college transcript data in compliance with college policies and all appropriate standards; manages the registration process; oversees the development of the academic calendar and course schedules; determines student eligibility for graduation in conjunction with academic officials; serves as the  custodian of student data and records as well ensures the campus is compliant with the Family Educational Rights and Privacy Act (FERPA); collaborates in the development and implementation of advances in technology relevant to the student data systems; oversees the hiring, supervision and evaluation of registrar staff in accordance with college policies and ensures the Registrar’s Office is providing excellent customer service; serves on appropriate committees as required; completes all other duties and responsibilities assigned by the Chief Student Services and Enrollment Officer.  

Minimum qualifications are a Bachelor’s degree from an accredited institution in Education, Management, Communications, Public/Business Administration or a related field and a proven record of five years’ experience in management of college or university registration and records processes, as well as academic business procedures.  Knowledge of state and federal laws and policies, including FERPA, related to records retention and disclosures is also required.  Desired qualifications include a Master’s degree from an accredited institution in the subject areas listed above; documented experience with Datatel’s student information system software; demonstrated ability to function as a team leader/team builder and communicate and work effectively with a diverse group of internal and external constituencies including students, parents, faculty, and college administration; excellent interpersonal and written communication skills; ability to identify and to solve problems independently and effectively; and ability to work under pressure.  Salary will be commensurate with education and experience. Director of Development
Under the direction of the Vice President for Advancement, the Director of Development serves as a key member of the Advancement team to plan, organize, and implement a fundraising program to secure support for Pacific Oaks College and Children’s School.   

Qualifications:

  • Bachelor’s degree required, Master’s preferred
  • Demonstrated comprehensive knowledge of the principles of fund raising in higher education.
  • Minimum 2 years experience in managing annual fund program and other outreach fundraising programs.
  • Proficiency in prospect research techniques to identify potential donors among individuals, foundations, and  corporations.  
  • Demonstrated skill in writing in order to and the ability to evaluate and edit any of these documents for content, style, and format.
  • Ability to prioritize work assignments and manage work flow.
  • Demonstrated ability to think, evaluate, and process complex issues and ideas.
  • Track record of supporting organizational excellence, collaboration, leveraging resources and budget management.
  • Possess interpersonal skills to work effectively and cooperatively with donors, volunteers, faculty members, community leaders, staff, development colleagues, and support staff.
  • Ability to motivate and support volunteer constituencies.
  • Ability to work in an economically- and culturally-diverse environment.

Essential Job Functions:

  • Build and manage a portfolio of prospects and donors, including individuals, corporations and foundations.
  • Develop strategies and set goals to expand individual giving, particularly with alumni and parents.
  • Identify, cultivate, solicit and secure gifts from private sources.
  • Direct and coordinate a growing annual fund program for the College and the Children’s School.
  • Oversee, direct, and manage development related events and activities.
  • Manage and track stewardship strategies and goals.
  • Initiate, conduct, and manage prospect research and analysis.
  • Assist with board development including staffing board meetings, board committees, and other board activities.
  • Produce professional, clear and compelling proposals and other solicitation materials, acknowledgments, and reports.
  • Supervises the work of the Advancement Coordinator (see org chart).
  • Perform other duties as assigned.
